Primary Purpose of Organizational Unit
The UNC Adams School of Dentistry Office of Clinical Operations is responsible for overseeing patient care, providing quality assurance, maintaining infection control, administering regulatory compliance and preserving fiscal stability. The Office of Clinical Operations is an integral part of the School and their primary mission is to provide the highest quality education and training to students and to provide the highest quality dental treatment available for patients.
Position Summary
The Office of Clinical Education at the UNC Adams School of Dentistry is recruiting for the position of Administrative Support Associate.

The Office of Clinical Education is the central administrative office for the patient care clinics at the School of Dentistry, providing supervision, guidance and administrative assistance to the clinical departments and programs within the school. The primary responsibility of the Office of Clinical Education is to oversee the provision of high-quality patient care activities within the School of Dentistry. The student clinics have over one thousand patient visits weekly. Concurrently, the Office of Clinical Education provides the highest quality education and training to students at the Adams School of Dentistry.

The Office of Clinical Education has responsibility for assuring that the Adams School of Dentistry's patient care clinics follow federal, state, local and university protocols with respect to HIPAA privacy, OSHA and CDC infection control and prevention, and professional standards of care. The office manages patient commendations, concerns, and works closely with university counsel and the professional liability insurance company to assure timely resolution and to minimize risk for the institution.

The Administrative Support Associate will be the Clinical Education team member that supports program administration and will be responsible as the point of contact as the Attendance coordinator. This requires monitoring, communications and follow-up when needed and data reporting for approximately 200 learners for the morning and afternoon clinic sessions. Principle duties also include, but are not limited to, problem solving, information and records administration, office technology and reporting, and knowledge of dental standards and policies, curriculum, and the predoctoral program. The position requires excellent verbal, non-verbal, and written communication essential skills.

This role is critical to developing and maintaining effective working relationships with and among students, faculty, staff, external stakeholders, and providing excellent customer service.

Duties:

-Friendly, knowledgeable staff member
-Administrative assistance to the Office of Clinical Education
-Predoctoral program Attendance coordinator monitors am and pm sessions. Respond to learners and patients within a timely manner of 24-48 hours.
-Work study supervisor (2 part time students: HR onboarding paperwork, delegate and instruct workload, sign timecards, prepare evaluations)
-Departmental program assistance
- CODA assistance
- MAHEC support
-Assist planning, organizing orientations, schedule meetings
-Schedule departmental meetings
-Order office supplies, maintain stocked inventory
-Assist with LMS Canvas admin
-Manage Outlook Calendar meetings and appointments
-Assist with EPIC projects
-Assist with Excel reports
-Other duties as assigned
Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Quality experience in patient care as a member of the dental team preferably in dental education setting

Preferred Qualifications, Competencies, and Experience
Dental assisting/dental hygienist knowledge experience highly desired
Dental assistant training and experience
Clinical experience as part of a dental care team preferably in a dental education setting

Interpersonal skills: Ability to foster positive interactions with learners, faculty, and staff that create a positive and humanistic learning environment where learning is 'safe'
