Divisional Volunteer and Christmas Coordinator

Position Summary: Half of this position manages the divisional Christmas campaign to reach the annual goal. This will involve working closely with corps kettle coordinators and officers, completing necessary reports, and working with public relations staff for media purposes. This position will strategize with corps sites to cover red kettle locations with volunteers or hired staff to ensure income at each approved site.

The other half of this position oversees and manages the divisional volunteer program including volunteer recruitment, processing, approvals, training, tracking, and managing volunteers. This includes promoting and recruiting thousands of volunteers from corporations, community groups and individuals to ensure corps volunteer needs are met.

Essential Responsibilities:

Christmas Red Kettle Campaign



  • Increase participation of community clubs and organizations throughout the year and especially during the red kettle season.
  • Monitor and control the use of bell-ringing equipment and paid ringers to reduce expenses.
  • Create new marketing techniques for both storefront and countertop kettle locations.
  • Establish year-round Christmas Committee to support The Salvation Army's largest community fundraising campaign. This committee should include business leaders, coordinators, and persons for bell ringing sites.
  • Develop and strengthen the Divisional Christmas Committee which would meet a minimum of three times a year and assist with red kettle fundraising.
  • Develop productive bell-ringing locations, ensuring that the bell ringers at each location are representing The Salvation Army in a positive way.
  • Schedule meetings with major retail divisional and regional managers with the Divisional Commander, City Commander, Executive Director of Development and/or other Development staff.
  • In collaboration with corps staff and officers, meet with store managers at least once during the year and make a follow-up phone call during the campaign.
  • Secure letters of release for liability from store managers to ensure that we can leave kettles at all major retail service desks (some stores will not allow this).
  • Serve as liaison to connect and coordinate three division-wide metro area commands to insure consistency in fundraising practices.
  • Serve as liaison to THQ for Christmas information and brand standards.
  • Handle logistics for the National Red Kettle Google/Apple Pay program and refer any technical questions to the digital marketing team, THQ, or NHQ as appropriate.
  • Create and manage the red kettle reports passing along correspondence onto the appropriate people.
  • Manage seasonal staff as assigned.
  • Thank you letters to host locations and sponsors.
  • Manage RegistertoRing.com bell ringer database.
  • At times will need to travel within the Great Lakes Division and Detroit Metro area.


Volunteer Management



  • Develop and promote volunteer bell ringing opportunities and strategies.
  • Manage volunteer background check processes and procedures.
  • Improve processes of communicating and collaborating with volunteers.
  • Coordinate with corps volunteer coordinators and officers to ensure they have a process in place to approve new volunteers and communicate with current volunteers.
  • Book volunteer opportunities for new corporate groups working closely with the Area Commands and Corporate Development staff.
  • Develop and maintain relationships with community organizations to provide mutually beneficial opportunities.
  • Create a Corps and Divisional Volunteer of the Year program that parallels and enhances the Territorial Volunteer of the Year program.
  • Manage the quarterly volunteer newsletter, working with divisional units on stories to promote volunteer opportunities and recognize those who have volunteered.
  • Coordinate with Corps Officers and volunteer coordinators to ensure they have a process in place to produce and distribute confirmation and "thank-you" communications to volunteers.
  • Conduct annual corps consultation and training regarding use of volunteers in programs as needed.
  • Support DHQ departments with screening and placing volunteers in needed positions.
  • Work with the Communications team to maintain a current volunteer presence on the divisional website and assist in the development of volunteer marketing materials.
  • Develop an appropriate volunteer orientation curriculum.
  • Manage the Divisional Volunteer Impact and Register to Ring databases and annual upkeep. Also, assist in the upcoming transition to volunteer records to Salesforce.
  • Coordinate all Volunteer Safe from Harm information with the Youth and HR departments.
  • Maintain proper volunteer documentation in the database and as needed in hard copy files for the annual volunteer office audit.


Qualifications:

Education/Experience:



  • Bachelor's Degree in related field and related experience or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities


Skills, Knowledge & Abilities:



  • Maintain confidentiality
  • Familiar with a variety of fundraising concepts, practices and procedures
  • Knowledge of events planning and logistics, fundraising/development, and office management systems and procedures
  • Must be physically able to lift a box truck lift gate and lift up to 45 pounds


Computer Skills:



  • Proficient in Microsoft Office 365
  • Working knowledge of TEAMS and SharePoint
  • Willingness to learn new software as needed


Certificates and Licenses:



  • Complete Safe From Harm training, and keep current as needed
  • Must have and maintain a current valid driver's license and pass the Salvation Army Motor Vehicle Record check (MVR)
  • Must have a chauffeur's license and be comfortable driving a box truck
