I. JOB OVERVIEW


Job Description Summary:

The Office of the Registrar is dedicated to ensuring that students make successful progress toward degree and graduation by providing the best possible service to all members of the diverse GW community. The office maintains academic records from enrollment through graduation and offers a wide range of services in the areas of classroom scheduling, enrollment verification, registration, requirements tracking, transcripts, and degree conferral. We support the university's mission to promote lifelong learning by administering the various academic policies of the university and providing support to students, faculty, administrators, and alumni.

Reporting to the Deputy Registrar, the Associate Registrar, Academic Scheduling & Planning is responsible for the following:

  • Leads efforts with campus-wide teams committed to creating an academic class schedule that strives to meet the needs of all involved in the educational mission of the institution, while prioritizing the needs of students to be able to find success at the university.
  • Directs the creation of the academic class schedule, including entry into Banner and the academic scheduling/events management system, for both on-campus and off-campus course offerings.
  • Approves and guides the publication of the online schedules of classes and main campus final exam schedules.
  • Work closely with the Academic Planning and Assessment Office to maintain and troubleshoot the interface between the Banner catalog and Courseleaf.
  • Directs academic schedulers in assuring that appropriate classroom space is assigned to scheduled classes by creating policies and procedures around these tasks.
  • Maintaining and regularly auditing inventory of academic and instructional spaces to include room capacities, the technology available in spaces, room layout, etc. This will require working closely with Academic Departments, Academic Technology, and Facilities.
  • Prepares reports and analyzes data on classroom utilization, distribution of classes across the instructional periods, and other data impacting the student and faculty scheduling to support data-driven decision-making.
  • Develops and implements outreach efforts to departments, faculty, and students.
  • Identifies and manages relationships and negotiates with external and internal partners.
  • Directly manages a team that is involved in production schedules, plans and assigns work, provides training, and facilitates regular workshops to staff within the Registrar's Office and to those supporting the academic scheduling function within the schools.
  • Creates and convenes a scheduling review and assessment group, and actively participates as a member to inform discussions with course/classroom scheduling expertise and best practices.
  • Manages the creation and maintenance of procedural, policy, and on-line knowledge base and job aides on policies, procedures, or technical applications pertinent to course and classroom scheduling.
  • Recommends business practices, technology, and other changes that may improve workflow and functionality, and analyze current and future system needs.
  • Acts as liaison for the Office of the Registrar with University administrators and academic offices on all matters related to academic scheduling.
  • Provides leadership to those engaged in the academic scheduling process.
  • Develops appropriate recommendations for policies and procedures at the university level and at the school/department level to ensure student-centered practices and compliance.
  • Participates in the overall planning of activities within the Registrar's Office, developing, recommending, and implementing major policy and procedural changes.


The position is based at GW's Foggy Bottom Campus in Washington, DC. The incumbent may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 6 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study plus 4 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Demonstrates ability to organize tasks, complete work, and meet deadlines.
  • Experience working with systems such as Banner as well as classroom scheduling systems.
  • Demonstrate a commitment to promoting and enhancing diversity.

Hiring Range $63,661.38 - $92,203.30
