Reporting to the Senior Director, Human Resources & Operations (Director) the Assistant Director successfully follows a preventative maintenance program set forth by the Director as well as works with the Director to create and implement maintenance strategies, procedures, and methods that will support the school’s mission and control budget cost allocations. The Assistant Director, Facility Maintenance (Assistant Director) oversees and assists with repairs in the areas of plumbing, carpentry, painting, plastering, electrical and machine servicing for the facilities of California Western School of Law. This position responds to general requests for maintenance assistance as well as supervises and coordinates the work of the maintenance team members. This position serves as a third maintenance team member and prepares work schedules, assigns work, and oversees work products. The Assistant Director develops and executes ongoing safety training for the maintenance team, performs regular safety inspections, carries out routine scheduled maintenance work, responds appropriately to emergency maintenance issues and diagnoses breakdown problems. The Assistant Director manages and maintains all maintenance reports and documentation. This position oversees regulatory compliance for issues including Cal-OSHA, hazardous materials, etc. As an “on call” employee, this position is responsible for responding to alerts and troubleshooting issues as they arise. This position must be available to be contacted via phone and be able to quickly diagnose problems, ensuring minimal disruption to operations. Primary Responsibilities (includes but not limited to): - Department Operations
- Oversee the day-to-day activities of the maintenance team.
- Assist with developing, managing, and monitoring all aspects of the budget to assure the most efficient and effective use of School resources.
- Organize and prepare expense reports including check requests, mileage reports, business expense reimbursements, petty cash requests and corporate credit card support documentation.
- Review and analyze systems and standard operating procedures, including costs, operations, and activity reports to determine progress toward goals and objectives.
- Make timely and ethical decisions both systematically and under pressure.
- Supervise Maintenance Team members.
- Hire, train, schedule, coach, discipline and evaluate assigned staff.
- Delegate effectively to ensure workload is balanced for efficiency and effectiveness.
- Provide appropriate feedback and coaching to assigned staff on a regular basis. Set clear goals and priorities.
- Develop strategies and protocols for performance and monitor progress.
- Accountable for employees’ performance results.
- Support and encourage employees to achieve performance and development goals.
- Proactively advise the Director of project status, potential issues and departmental progress.
- Maintenance
- Manage maintenance service tickets, practicing excellent time management skills to complete tasks within company time frames.
- Create and maintain a customer-service oriented team whose goals shall include quality service, integrity, time and cost-conscious service providing timely and courteous response.
- Act as third maintenance team member to complete service requests.
- Oversee and assist with maintenance activities.
- Conduct periodic and ongoing quality control field audit inspections of the campus to assure all work orders are being properly executed in a manner consistent with quality.
- Provide efficient and well-organized service through scheduling and preventative maintenance of equipment.
- Negotiate and maintain various maintenance contracts. Measure performance of service vendors.
- Oversee supply and equipment inventories; order supplies and tools as necessary, prepare documents for equipment procurement and/or disposal.
- Maintain and organize all records and reports, including vendor contracts and invoices and safety and compliance reports.
- Responsible to be consistently on time to work and available while off-duty for emergency, scheduling or personnel issues. Remain on-call for emergency response as needed, after hours and on weekends.
- Identify and report maintenance deficiencies on a routine basis and initiate documentation and/or
- contact with appropriate vendors to assure correction.
- Develop and execute ongoing safety training for Maintenance Team. Oversee regulatory compliance for issues including Cal-OSHA, hazardous materials, etc.
- Project Management
- Act as lead PM, and general contractor as needed, for internal renovations and other projects.
- Schedule contractors for onsite work in accordance with specified timelines.
- Review the work of outside contractors to meet the expectations before payment.
- Route vendor contracts for approval and work with Facilities team to track expenses.
- General
- Conduct daily campus inspection to review and evaluate facility conditions.
- Represent Facilities in regulatory inspections. Maintain records according to departmental standards.
- Utilize campus CMMS system to address HVAC system requests and troubleshoot related issues.
- Perform regular safety inspections, accident/incident analysis, and reporting.
- Ensure compliance with state, local, and institutional policies, rules, and regulations relating to safety, security, and environmental protection. Update and maintain protocols to support these efforts.
- Conduct health and safety audits to ensure adherence with Injury & Illness Prevention Program requirements.
- Operate a personal motor vehicle or rental truck to pick up/deliver supplies from various stores and/or vendors and to events, as necessary.
Minimum Qualifications: - Bachelor’s degree strongly preferred.
- Minimum of five (5) years of related work experience performing as a maintenance engineer or construction worker required.
- Three (3) years of administrative/project management and supervisory experience required. An equivalent combination of education and experience may be substituted.
- Must be familiar with the various building systems and equipment which make up a commercial facility, their purpose and functions. A general knowledge of the field including, but not limited to plumbing, electrical, painting, HVAC, OSHA compliance etc.
- Must be able to be “on call” for emergencies.
- Strategic planning, organization, and attention to detail are crucial for success. Strong communication skills are essential.
- Some weekend and evening hours may be required.
- Experience with OSHA compliance preferred
- Have daily access to a reliable vehicle and obtain and maintain a valid California driver’s license and personal vehicle insurance acknowledging the vehicle is used for employee’s work purposes (for example periodic pickups, and annual Commencement event delivery, as necessary).
- CPR/AED/First Aid Certification required within six weeks of hire
Computer Skills: - Must possess intermediate level of computer skills using MS Word, Excel, and Outlook.
- Basic knowledge of internet-based work order ticketing system a plus.
- Must be familiar with Internet search engines and email properties.
- Aptitude for learning new technology will be beneficial.
Compensation: $68,000.00 - $75,000.00 Annual Salary Factors in determining the appropriate compensation for this role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The higher end of the range will be considered for well qualified candidates. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the law school reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the law school anticipates paying for this position, based on internal equity and budget.
