Inova Fairfax Medical Campus is looking for a dedicated Program Coordinator to join the Inova Schar Heart and Vascular (ISHV) team. This role will be Full-Time, Monday-Friday, 8AM-5PM (hours can vary with some early and/or evening hours as needed), Hybrid

Job Responsibilities:

The Program Coordinator demonstrates strong communication, interpersonal, facilitation, and team building skills in order to work effectively with customers and other members of the healthcare team to provide direction for clinical practice. Coordinates the program in order to ensure maximum effectiveness while managing and developing service line teams. Identifies trends applicable to the target population in order to better coordinate programs, establish priorities, and improve services. Develops, trains, organizes, schedules, implements, supervises and/or evaluates the program or programs. Maintains knowledge of specific fields and identifies national trends as they apply to the population served.



  • Management of office suite, supporting the ISHV President and part of the office suite team, including Chair of Vascular Surgery, ISHV.
  • Academic and Clinical Support, including conflict of interest documentation, journal publication forms, credentialing forms, expense reports and tracking, biosketches, documents for grant requests, CME and conference documents.
  • Editing documents and distributing communications, including dictations, manuscript formatting, offer letters, thank you letters, memos, announcements, newsletter.
  • Complete/manage required training modules (Healthstream, IRB, regulatory modules and training).
  • Manage and serve as liaison for visiting professors, including invitations, schedules, virtual visits, and dinner lectures.
  • Assist with recruitment visits as needed.
  • Serve as event coordinator for CV Fellows events, journal club dinners, visiting professor dinners, and CME events.
  • Serve as back-up scheduler/office coverage for ISHV President.
  • Assist with processing invoices and expenses.
  • Assist with in-person events and meetings as needed, in particular the 2 annual CME symposia programs.
  • Submit grant requests for the annual Advanced Heart Failure and Cardiovascular Symposium.
  • Promotes the program, increases participation, and evaluates program goals in collaboration with departmental staff, Marketing, and other applicable departments and community organizations.
  • Tracks, reports, and presents various data to include patient satisfaction and outcome data specific to the service line and develops performance improvement plans as necessary.
  • Acts as a Liaison between staff, interdisciplinary team members, patients, families, hospitals and clinics.
  • Maintains COE/certification, regulatory/legislative compliance, and knowledge of specific field. Coordinates regular physician meetings for key physicians in the service line and potential physicians to identify concerns and develop process improvement cycles to improve service, achieve/maintain COE/program certification, and ensure compliance with regulatory/legislative guidelines.
  • May perform additional duties as assigned.


Additional Requirements:



  • Work Schedule: Full-Time, Monday-Friday (8AM-5PM typically but hours can vary with some early and evening hours), Hybrid
  • Education: Bachelor's in nursing, health, education, social work, public administration or other related field; or HS Diploma/GED and an additional 4 years of relevant experience; or Associate's degree and an additional 2 years of relevant experience.
  • Experience: Two years of experience in developing, implementing and coordinating programs or projects.
